At the initial meeting we take a brief to establish your requirements and objectives of your event. We will then develop a proposal and cost estimate for you to review.
Detailed Budget Estimate
A detailed outline of all costs involved as well as cost saving suggestions are provided. Your event organiser manages the budget and continues to make savings where possible throughout the planning process. Your promotional dollar is constantly managed to ensure your budget is met.
Design and Print Management
Design and print management of all collateral associated with your event. This ranges from registration brochures to conference handbooks, nametags to invitations.
Your allocated event organiser will handle all aspects with regards to the venue. This includes the initial inspections to establish suitability, on-site management at the time of the event, conference room allocation, catering, audio-visual, car parking arrangements and all other aspects required.
Conference Program and Speaker Co-ordination
Our conference managers liaise with your speakers and moderators to design an informative and entertaining program. We work with you to fully brief your speakers and moderators regarding the venue, audio visual requirements, length of presentations etc. We can also arrange motivational speakers to be included within the program.
Trade Exhibitions and Displays
MP Events have experienced conference organisers that can co-ordinate an exhibition, sell booths and/or space to raise revenue based on a target list of potential companies. We liaise with the venue and the builders to maximise the floorspace.
MP Events can co-ordinate sponsorship through development of a sponsorship proposal. Our conference organisers sell the packages to raise revenue based on a target list provided of potential companies. We also ensure that we service the sponsors and all their entitlements are met and that they feel they have received value for money.
Sourcing and managing all forms of entertainment is part of our service. Whether you require a band, corporate speaker or roving entertainers, MP Events can find the right person for the job.
Our creative event organisers can develop a unique and creative theme for your event or incorporate your company or product logo, colours and advertising campaign to communicate your message. Gala dinners can also be themed with the use of props and lighting. Appropriate staging can also be added to put the finishing touches to your theme.
We use an industry leading event management software that ensures reliability and full flexibility. Our database provides reports and information breakdown on all of your delegates. We can produce timely reports based on attendance breakdown, sponsorship commitment or monetary reports. Our database can generate reports based on various pieces of information e.g. by sales representative, state, territory etc. This in turn keeps your sales force and staff up-to-date with all aspects of your project.
MP Events can co-ordinate the initial mailout of invitations to your event, whether it be a registration form to conference delegates or an invitation to a gala dinner.
Managing RSVP’s and Registrations
Our dedicated delegate managers are experienced in receiving RSVPs and registrations via internet, free-fax, phone or mail. Along with receiving RSVPs and registrations we are readily available to take any enquiries over the phone.
Social Program (including partners’ and children’s programs)
This extremely time consuming task is removed and handled internally with well-trained delegate managers receiving and processing incoming RSVP’s.
Accommodation and Flight Co-ordination
Our event organisers are experienced in negotiating group accommodation rates at nominated hotels used specifically for the conference. We can also arrange flights for speakers, delegates and committee members. If a client is eligible for a discounted group rate, we are able to arrange this either through your preferred travel agent on your behalf, or directly with the airlines.
